Who controls the main admin account for your accounting software, your CRM, your file storage, your domain name, your Autodesk or Graphisoft licences?
The business should. Not one employee's personal email address, and not a mobile number that leaves when they do.
The four checks
- The main account uses a company-owned email address, ideally a shared mailbox or a dedicated admin address.
- At least two trusted people have admin access.
- Billing and recovery details are current, so a lapsed card doesn't suspend the service.
- You can still get in when an employee leaves.
Where practices get caught
The classic cases are the domain registrar (registered by a founder or a web designer years ago), the Planning Portal account, and the CAD licence portal that only the departed technician ever logged into.
