AI meeting assistants: decide the rules before one joins a client call

Before you let an AI meeting assistant join a client or staff call, know what it records and where that goes.

Most of them capture the audio, produce a transcript and a summary, and store all three in the provider's cloud under whichever account added the bot. Those files can contain fee discussions, client information, staff matters and project details you'd never email around.

Set the rules

  • Which assistants staff may use (Teams' own transcription and Copilot keep data in your tenant; third-party bots usually don't).
  • Which meetings they may join, and which they may not.
  • Where recordings and transcripts are stored, who can access them and how long they're kept.

Tell people

Inform everyone on the call before recording or transcribing. It's basic courtesy, and for client calls it may be a contractual requirement.
